We are currently searching for a Project Monitor to join our team in Washington, DC and assist us in achieving this mission:
Assist federal Project Officers (PO) with desktop monitoring and outreach to state and local government agency grantees to ensure submission of accurate project data.
Assist PO with scheduling outreach to grantees – both on-site monitoring visits and monthly check-in telephone calls and emails.
Prepare for full monitoring and targeted grantee assistance on-site visits, including coordinating travel and logistics, preparing visit agendas, researching and compiling available data on grantee project status, etc.
Occasionally accompany POs on full on-site monitoring visits, take notes, assist with checklist completion, and compile monitoring report.
Ensure checklists and reports are loaded into client database and internet portal sites and that the field feedback database is completed within two weeks of on-site monitoring visits.
Conduct analysis, as requested, to determine the state of federal grant program goals for the monitored grants portfolio.
Perform outreach to grantees to acquire targeted data elements (i.e., why grantees are not tracking to their milestones).
Maintain a list of all delinquent reporting grantees.
Coordinate outreach with federal Technical Assistance teams to ensure timely and accurate reporting.
Compile PO input and respond to routine reporting requirements such as time and travel, weekly updates, communication logs, etc.
Perform document editing and formatting, document and presentation preparation, database administration, and other administrative duties, as required.
Required Skills:
Bachelor’s degree in Business, Government, Policy, Finance, Management Science, or similar discipline and four to six (4-6) years experience in grant monitoring/management (experience with federal grants preferred).
Working knowledge of standard English grammar, spelling and punctuation, and ability to complete Company and Client forms and prepare correspondence and written reports as required.
Working knowledge of standard office procedures and software, such as Microsoft Word, Excel, and PowerPoint, with ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
Ability to operate various office equipment, including Internet, computer, projector, copier, fax machine, postage meter, telephone, and calculator. Ability to maintain accurate files.
Ability to maintain knowledge of Company’s philosophy, goals, objectives, applicable regulation, policies and procedures.
Ability to provide public access to or maintain confidentially of department information and records according to state regulations.
Ability to comply with all Company and Client policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Be eligible and be able to maintain clearance or badge for accessing Client’s site.
Ability to effectively communicate orally and in writing with co-workers, management team, leadership team, state and local government grantees, sub-contractors, partner staff, service providers, non-profit agencies, venders, suppliers, auditors, monitors, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to competently serve the Client and/or the individual’s constituents with diplomacy and respect.
